Copy this checklist into your planning notes or use it to build one shareable convoy brief. It is designed for the coordination around the route: rig limits, fuel range, comms, recovery ownership, camps, and the decisions that keep the group together.
Trip and route basics
- Trip name, dates, leader, and backup leader
- GPX route, offline maps, and key waypoints
- Daily legs, estimated drive time, and technical sections
- Fuel stops based on the shortest-range vehicle
- Water sources, camps, alternates, and bailout routes
Convoy roles and communications
- Lead and sweep drivers
- Navigation backup and trip medic
- Primary radio channel and backup channel
- Call signs, regroup points, and lost-comms procedure
- Rules for junctions, spacing, and stopping the convoy
Vehicles, fuel, and recovery

- Air compressor, tire repair, tools, spares, and jump-pack owners
- Recovery lead and an agreement to stop before any recovery begins
Camp, food, water, and shared kit
- Camp coordinates and land-use rules for each night
- Kitchen, stove, fuel, fire, sanitation, and trash owners
- Shared water capacity and treatment plan
- Meal assignments and dietary needs
- First-aid kit, satellite communicator, and fire extinguisher owners
Weather, safety, and final confirmation
- Weather and trail-condition check time
- Go/no-go decision owner and thresholds
- Emergency contacts and overdue check-in plan
- Known hazards, closures, fire restrictions, and medical considerations
- Confirmation that every driver opened the final brief
